2. Information we collect
We keep data collection to the minimum required to respond to your inquiry and deliver a consulting engagement.
- Information you submit. Name, work email, company, and the message content you provide through our contact form, email, or scheduled calls.
- Engagement information. If we enter an engagement together, we receive the technical materials you choose to share — such as CAD files, URDFs, datasets, repositories, or cloud credentials — strictly for the purpose of delivering the agreed work.
- Technical information. Basic server logs (IP address, user agent, request time) generated by our hosting provider for security and abuse prevention.
We do not use third-party advertising trackers, session replay tools, or behavioural analytics on the Site.
3. How we use information
- To respond to your inquiry and scope a potential engagement.
- To deliver, manage, and support consulting services you have engaged us for.
- To send essential service communications (for example, meeting confirmations, deliverables, invoices).
- To meet our legal, tax, and contractual obligations.
We do not sell, rent, or trade personal information. We do not use your information to train machine learning models except on your explicit, written instruction as part of an engagement.
4. Confidentiality & security
Security and confidentiality are the foundation of how we work. Whatever we work on with clients stays between us — we will not share engagement details, code, data, or materials outside The Deep Intelligence. We are NDA-ready from day one and will gladly execute a mutual non-disclosure agreement before you share sensitive information.
Operationally, we apply the following practices:
- Least-privilege access to client data — only team members assigned to your engagement receive access.
- Encryption in transit (TLS) for all Site traffic and email correspondence.
- Encrypted laptops, secure password management, and hardware-key MFA on engineering accounts.
- Client data is deleted or returned at the end of an engagement on request.
5. Service providers we rely on
We use a small number of reputable vendors to operate our business. These providers process data only on our behalf and under contractual obligations that require them to protect it:
- Cloudflare, Inc. — hosting and content delivery for this Site.
- FormSubmit — relays contact-form submissions to our email.
- Cal.com, Inc. — scheduling discovery calls.
- Google Workspace — business email, calendar, and document storage.
6. Data retention
We retain inquiry data for as long as is reasonably needed to respond to you and to maintain business records. Engagement data is retained for the duration of the engagement and any contractually agreed period thereafter, then deleted or returned.
7. Your rights
Depending on your jurisdiction, you may have the right to access, correct, delete, or port the personal information we hold about you, or to object to or restrict its processing. To exercise any of these rights, email contact@thedeepintelligence.com from the email address on file. We will respond within a reasonable period and in accordance with applicable law.
8. International transfers
The Deep Intelligence operates from India and serves clients worldwide. By engaging with us, you understand that your information may be processed in the country where we or our service providers operate, under appropriate safeguards.
9. Cookies
The Site does not set advertising or analytics cookies. Our hosting provider may set a small number of strictly necessary cookies for security, load balancing, and bot-mitigation purposes.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be highlighted on the Site and, where appropriate, communicated directly to active clients.
